How to Batch Update Agents in Catalog Record Roles

To Batch update Agents (collectors and preparators, determiners) use the Manage options in the Search Results Tools menu. This is an efficient alternative to using the “Agents Tab” found in individual catalog records when needing to update multiple records at once. Agents can be added, deleted, or re-ordered using these features.

Note: Agents involved in activities other than catalog record activities (donors, loan contacts, publication authors, project participants, etc.) cannot be globally edited, and must be individually updated in each transaction, publication or project.

First, query for the records to be edited. ALL records that appear in the search results list will be batch-updated. Be sure to double-check the results and isolate only the records you wish to update, narrowing your search parameters if need be. In the Tools menu bar above the search results select Collectors or Agents under the Manage section.

If all you need to do is add, remove, or reorder Agents in roles as defined in Collection Object: Agent Roles, select the Collector option.

To bulk replace agents in any role in a set of catalog records, select the Agents option.

Select a replacement agent name and pick the affected roles:
